3. Approval of Agenda: Approved
4. Minutes of the February 21st meeting: Moved by Ellen Wilson & seconded by Jim Bakker that the minutes be approved read. Carried.
5. Business arising from minutes: none.
6. Correspondence: i. Letter to the Municipality of Centre Hastings asking that the former Timbermart property be used for parking until such time as construction begins. ii. Letter from the Canadian Chamber of Commerce concerning disclosure of private information collected during the course of the Chambers business. It was decided that we do not need a privacy policy at this time as we do not collect personal data. Judy Smith suggested that a statement to the effect that the Chamber will not sell, or make public, information received that is of a personal nature, be included with Chamber correspondence. iii. Letter from the Market Vendors suggesting that some of the market events become general village events.
7. Business arising from correspondence: None
8. Financial Report: There is $5592.09 in the bank. There are 82 paid members to date. Jim Bakker made the request that he spend about $300.00 to purchase a new laser printer for the office. Moved by Ellen Wilson and seconded by Judy Smith that he proceed. Motion carried. Jim will investigate and report back to the Chamber.
9. Old Business: i: Madoc & District Main Street Initiative: Regular meetings are scheduled for each community. The next one for Madoc is April 24th, 7:00 p.m., at the Madoc Public Library.
ii. Community Radio: The application has been made for a license to the CRTC and it is hoped that approval will be received by end of June. The potential radio studio site in Madoc, however, is no longer available.
iii. Welcome Wagon: The program is ready to go as of early April. Jim Bakker is to write a news release to introduce it to the area.
iv. Comfort Country ... At a Glance: This is progressing slowly and the May 1st target will not be met. We still need to supply editorial copy for the publication.
v. Market Square events: Cliff Andrews says the Market’s official opening will be on Saturday. May 20th. The Reeve will be present, as well as representation from the Chamber. This will be a good photo op for the Chamber. Concerning the Canada Day festivities, the application has been acknowledged by Heritage Canada, but they will not make their funding selections known until June. It was moved by Judy Smith and seconded by Jim Bakker that the Chamber advance the funds (estimated to be about $900.00) so the Market Vendors can go ahead and book events for the Canada Day celebrations. Motion carried. The Marketers have a full day of events planned on Canada Day from 9:00am to 5:00pm. They have been unsuccessful in recruiting any group to organize anything for after 5:00pm. It was also noted that the Market Square is desperate need of cleaning before the Market season. The Friday evening VINTAGE CAR SHOWS need a volunteer to organize them. The will run from 5:00pm to 8:00pm on Friday evenings starting mid-May. Several names were mentioned as possible organizers and Jim Bakker will follow up. It was moved by Jim Bakker and seconded by Ellen Wilson that $300.00 be used to purchase a supply of inexpensive trophies to present the winners of the car shows each week. Motion carried. On May 6th, 10:00am to 2:00pm, there will be a mini-event at the Market. The Kiwanis Club will start their Annual Duck Derby there. Richard Peck will run a barbecue and Amazing Coffee will be there with a coffee cart. Free native growth trees will be given out by the Hastings Council Stewardship Council at the Square and the Girl Guides have been invited to set up a table to sell their cookies. The OPP Marine Patrol will be present with their boat, and Judy Smith will be there with the plans for the new playground at the Skatepark if they are ready.
vi. Agnes Thompson showed us the plans for the revitalization of the Cenotaph playground that will be paid for with the $10,000.00 grant she received from the Parrott Foundation.
